HomeMy WebLinkAboutMinutes 2017-06-05SOV Ili SAN I RAM.Im.0 CONI I REN( h CI V fk R MINUTES REGULAR MEETING OF THE SOUTH SAN FRANCISCO CONFERENCE CENTER AUTHORITY South San Francisco Conference Center 255 South Airport Blvd., South San Francisco, CA 94080 June 5, 2017 Meeting was called to order at 5:22 p.m. by Authority Chairperson Garbarino. Authority Members Present: Mark Addiego, Liza Normandy, Paul Formosa, Jim McGuire Authority Members Absent: Ray Yoschak, Buenaflor Nicolas and Rudy Ortiz Staff Present: Steve Mattas, Faina Vinarskaya and Dean Grubl Authority Chairperson Garbarino requested a roll call and asked the Authority to stand for the pledge of allegiance. Public Comment: There was no public comment. Action Items: 1. Review/Approval of Minutes from the April 17, 2017 Regular Meeting. Authority Member Addiego moved to approve the minutes and Authority Member Formosa seconded the motion. The Authority agreed unanimously. 2. Review/Approval of Fiscal Year 2017-2018 South San Francisco Conference Center Budget. Executive Director Grubl reviewed the budget document as approved by the Budget Sub - Committee (Authority Members Formosa, McGuire, Garbarino, and Yoschak). The proposed Fiscal Year (FY) 2017-18 budget included a total revenue projection of $4,173,246 and a total expenditure request of $3,504,556 with a projected budget surplus of $668,690. Also, included in the FY2017-18 budget was a capital improvement budget of $408,600. The Conference Center Tax was projected based on an assumed 80% occupancy; the current anticipated Conference Center Tax for FY2016-17 is based on at 82% occupancy. The projected Unrestricted Fund Balance at the end of June 30, 2017 will be approximately $2,909,782. The FY2017-18 budget will be presented at the City Council's regular meeting on Wednesday, June 28, 2017. Authority Member Addiego moved to approve the FY2017-18 Budget as endorsed by the Budget Sub -Committee and Authority Member Formosa seconded the motion. The Authority agreed unanimously. Authority Minutes June 5, 2017 Page Three Executive Director's Report: 1. General Managers and Director of Sales Meeting. Grubl mentioned to the Authority that the Conference Center held a General Managers and Director of Sales meeting on Tuesday, April 25, 2017, at the Conference Center. Mike Futrell, City Manager of South San Francisco, presented to the group the future vision of South San Francisco with the many projects the city is undertaking, (i.e. Cal Train new station, Grand Avenue project, and the two new hotels coming into the area). 2. Sales and Operations Activity Report Grubl reported that Director of Sales Kathleen Kearney and he attended the San Francisco Travel Association's 107' Annual Luncheon at Moscone Center West last week. The Travel Association gave an update on the progress of the Moscone Center expansion. Sales Manager Ishida will be attending the Meeting Planners' International Sacramento Gala this week on behalf of the Conference Center. Ms. Ishida will also be making sales calls on Conference Center clients in the Sacramento region. Director of Sales Kearney attended Successful Meetings Destination California tradeshow in Southern California in early May. She met with over 20 meeting planners and returned with request for proposals from this event. Grubl mentioned the Conference Center Sales Team is working on a sales mission and reception, along with the South San Francisco Hotel partners for September 2017 in the Sacramento region. Sales is coordinating with the Catering Department a "Chef's Table" for a select clientele for this coming July. They are planning to hold one of these per quarter for the coming year. The Sales and Catering Department is planning a "Christmas in August" to showcase to potential clients in the Bay Area what the Conference Center can do for holiday parties. Grubl mentioned that the Annual Fire Inspection of the Conference Center was completed and passed the first of May 2017. He also stated that the Operations Department has started working on the schedule for the upcoming fiscal year capital improvement projects. 3. Other Items Grubl informed the Authority that the FY2016-2017 audit had been scheduled with C.G. Uhlenberg for the week of September 5-7, 2017 and they will be presenting their findings to the Authority during their December Regular Authority meeting.
