The regular meetings of the Library Board of Trustees are held on the fourth Tuesday of each month at
6:00 PMin the Main Library, Auditorium, 840 West Orange Avenue,South San Francisco, California.
Public Comment
: For those wishing to address the Board of Trustees on any Agenda or non-Agendized item,
please complete a Speaker Card available from the Main Library and submit it to the Library's Administrative
Assistant. Please be sure to indicate the Agenda Item # you wish to address or the topic of your public comment.
California law prevents the Board of Trustees from taking action on any item noton the Agenda (except in
emergency circumstances). Your question or problem may be referred to staff for investigation or action (or
both) where appropriate or the matter may be placed on a future Agenda for more comprehensive action or a
report. When your name is called, please state your name and address(optional) for the Minutes. COMMENTS

The meeting was called to order at 6:00P.M. in the Main Library.

OLD BUSINESS
Library Opening and Recruitments
The Library Assistant II position in the MakerSpace and Technology Center remains vacant. The
interviews have gone to a third round, due to having variouswell-qualified, internal candidates.
Staff introduction of the new Library Assistant IIis tentatively scheduled for the next Library Board
of Trustees meeting.
New Main Library and Community Center Update
Assistant Library Director, Adam Elsholz has been assigned towork on the fundraising forthe new
Main Library/ Community Center.An upcoming fundraisingevent at the Main Library, along with
the Silicon Valley Community Foundation, will be in September or October.The project is
currently in the design development phase and is tentatively scheduled to be completed by the
beginning of October, to be presented to City Council in November. Fundraising is set to be
completed by June of 2020. Bidding for the project is scheduled to begin in the fall of 2020. Issue
number 3 of the Community Civic Campus Newsletter was passed out to the Library Board.

NEW BUSINESS
New Staff Introductions
Kathryn Alexander introduced herself as the new Adult Services Librarian. Prior to joining the
South San Francisco Public Libraryin April, Kathryn workedpart time at both Menlo Park and
Redwood City as a Youth Services Librarian. Kathryn received her MLIS at the University of
Montreal.
Pacific Library Partnership Benefits Paper –Review and Discussion
The Library Board of Trustees reviewed thePacific Library Partnership Benefits paper.
Discussionand Motionto Change the Date of the August 27, 2019 Library Board Meeting to
August 29, 2019
A discussion and motion to change the date of the scheduled August 27, 2019 Library Board of
Trustees meeting to August 29, 2019 was moved, seconded and approved.

ANNOUNCEMENTS
The Summer Learning Challenge Finale will be on Saturday, August 3, 2019 at the Orange

GOOD AND WELFARE
Former South San Francisco Councilmember and State Assemblyman, Gene Mullin, gave kudos on
the youth services story times; his grandchildren really enjoy attending.
Pat FitzPatrick received compliments on the Library’s dash and dot robot races program held by
Monte.

MAIN LIBRARYAUDITORIUM USE POLICY

This policy is designed to ensure Library facilities serve their primary purposes,
including the provision of a quiet and orderly environment in which people may read,
study, use library materials and equipment, and contemplate. The rules may regulate
disruptive behavior, noise, offensive odors, health and sanitation hazards, and bringing
possessions, materials, or objects into the Library which are likely to interfere with its
use by others. The rules may not unreasonably or unfairly restrict access to libraries by
any person or group.
Use of the auditorium is available – on a limited basis – for booking by local non-profit
groupsserving South San Francisco,including neighborhood associations, schools, or
public agencies. Bookings must be for meetings or programs open to the public. Due to
limited parking, groups of more than 25 adults will not be accommodated. No fees,
dues, or donations may be charged or solicited by the user, nor may any item or service
be sold or advertised. In addition, commercial use of the auditorium by private groups
for purpose of sales is prohibited.
This policy does not apply to use of the auditorium forprograms sponsored by the
Llibrary- or, City, City, government-sponsored programs or programs sponsored by
government agencies, or Friends of the Library.
AVAILABILITY:The auditorium is regularly used for public events. However, there is
some availability for reservation of the auditorium during the following hours.
Occasionally, additional afternoon and evening hours may be available.

BOOKING:Requests to book the auditorium may be accepted from persons 18 years
and older, up to two(2) months in advance, by calling650-829-3878, Monday through
Friday between 9 a.m. and 4 p.m. Because theauditorium is used by a wide variety of
public, library, andCity of South San Franciscodepartments, advance reservations are
requiredandmust be made at least two(2)weeksprior to the date. A telephone
reservation is tentative only. Thewritten application, theMain LibraryAuditorium Use
Applicationform, must be received within48 hours of the telephone reservation. The
application may be submitted online at Library’s website www.ssf.net/library. “Reserve a
Space.”

Depending upon the nature of the program, proof of personal and property liability
insurance may be required.Applications will be accepted from the same organization up
tosix (6)times in a calendar year.
PRIORITY:Libraryand Cityprograms have first priority. While the utmost care will be
taken to schedule Library and City programs in advance, there may be times when a
reservation will be cancelled.
BUILDING ACCESS:For safety reasons, entrance to the lower level of the Library is
limited to Project Read patrons and persons attending programs or meetingsinthe
auditoriumand adjacent rooms.ADA access to the auditorium is via the elevator on the
main floor of the library.Restrooms and a drinking fountain are located down the hall.
ADA accessible restrooms are available on the main floor.
SETUP:The auditorium includes tables andchairs, permanently mounted projector
andscreen, and a small stage. With a library card, a Windows laptop computer, with
HDMI cable, can be borrowed for the event. Users can bring their own laptop and other
audio visualequipment and supplies.Testing audio visual connections prior to the
event is highly recommended.
KITCHEN/CLEANUP: The kitchen adjacent to the auditorium is for library use only.
Food may not be prepared on the premises.Each group is responsible for leaving the
room in a clean and orderly condition. Users must pay the cost of repair for any
damage. The library is not responsible for materials or equipment left in the building by
users.
CHILDREN:In order to ensureproper supervision and safety, groupsinvolvingchildren
must have adults present in a ratio of one(1)adult for every fifteen ten (105) children.
Noise: Keep noise to a minimum as loud meetings and programs can disrupt the staff
working environment and interfere with adjacent meetings and patron usage.
PROHIBITIONS:The name, address, and phone number of the South San Francisco
Public Library MAY NOT be used as the official address or headquarters of any group
using the auditorium. The use of the auditorium shall not be publicized insuch a way as
to imply library sponsorship of the group's activities. Neither smokingSmoking, vaping,
andnor the consumption of alcohol is are notallowed in the auditorium.the Library and
onLibrary property.Open flames are not allowed in the Libraryand on Library property.
All participants must comply with the Library Use Policy, as posted in the auditoriumand
available on the Library’s website.Granting permission to use the auditorium does not
constitute an endorsement of the users and/or their beliefs by the Library staffor,
Library Board of Trusteesor the City of South San Francisco.
