Brown Act andpursuant to the order of the Health Officer of San Mateo County dated March 31, 2020.

CALL TO ORDER
The meeting was called to order at 6:00P.M. via Teleconference meeting (GoToMeeting).
ATTENDANCE

The Board reviewed the Director’s Report.One correction was noted on page one: City Council
provided the Library with $80,000for Technology learning programs, supplies and staffing.

OLD BUSINESS
New Main Library and Parks & Recreation Community Center Project Update
City staff continues to meet virtually with SmithGroup Architects. Most recently discussed were
furniture,fixtures and equipment. The full updateis tentatively scheduledto be presentedto City
Council on August 12. A date for the groundbreaking has not yet been scheduled, although a late
Fall date is a possibility.Approximately$185,000 has been fundraised throughthe Community
Civic CampusCampaign, with another $1,000,000 donation received from a corporate donor.
NEW BUSINESS
Coronavirus, COVID-19, Response and RecoveryPlan
Staff is currently focused on the launch of the curbside pickup service and continuing to provide
mail delivery service to our more vulnerable patrons. Curbside pickup service has been very
successful since its launch and is currently booked intoJuly. To welcome the next phase of our

, we will be bringing in limited staff, dailyto SSFPL libraries.

Library staff continues to plan ahead to the next phases of recovery, where more staff will be
working on site and we will begin walk in services for patrons.
Fiscal Year 2020-2021Budget Update
City Council will be officially voting on the proposed budgetfor fiscal year 2020-2021at the

Wednesday, June 24
City Council meeting. The tentative Library payroll reductions comes to a
total of $189,000. The tentativesupplies and services reductions comes to $142,000,which
includesa reduction inbooks, DVDs, and downloadable items. City Council and City staff will
revisit the budget in October once revenues begin to increase and City services will possibly be
back to normal.
Discussion on Social Equity and Inclusion Statement from SSFPL
The Library Board of Trustees reviewedthe Social Equity and Inclusion Statement sent out from
SSFPL. All board members agreed the statement was very well written.
Discussion and Motion to Amend the Main Library Auditorium Use Policy
The Library Board of Trustees reviewedthe Main Library Auditorium Use Policy.Suggested
amendments involve requirements and procedures complying with public health orders from the
San Mateo County Health Department. A motion to amendthe policy as presented was made,
seconded and approved.
Discussion and Motion to Amend the Grand Library Meeting Room Use Policy
The Library Board of Trustees reviewed the Grand Library Meeting Room UsePolicy.
Suggested amendments involve requirements and procedures complying with public health
orders from the San Mateo County Health Department.A motion to amend the policy as
presented was made, seconded and approved.
Discussion and Motion to Amend the Community Learning CenterRoom Use Policy
The Library Board of Trustees reviewed the Community Learning Center Room UsePolicy.
Suggested amendments involve requirements and procedures complying with public health
orders from the San Mateo County Health Department. A motion to amend the policy as
presented was made, seconded and approved.

Census Program Report

Census Updates:
National Self Response rate is: 62.1%
California Self Response rate is 63.3%
San Mateo County SelfResponse Rate is 73.1%
South San Francisco Self Response Rate is 73.2%
Community Outreach:
The Grand Ave Library team includedCensus bookmarks into their 2,000 STEAM kits
for children pickinguptheirlunch at the school district’s “grab and go” lunch sites.
With the support of Councilwoman Karyl Matsumoto, and in collaboration with Kristy
Camacho and Eddie Flores, we had a Mask Give Away/ Census event at the Spruce
Elementary School.
The event was anoutstanding success! Over 500 people attended in staggered times,
ranging in ages from toddlers to seniors. The Census team encourage the 500+
residents to complete their Census and help spread the word. Community
Ambassadors registered around 20families for the Census and shared additional
information on the importance of being counted along with free Census swag items.
Over the course of two and a half hours, Eddie and Kristy handed out 875 cloth masks
and COVID-19 safety information to both English and Spanish speaking residents at no
cost.
Partnerships
The team continuesreaching out to local organizations, businesses, faith-based groups,
public and private schools, nonprofits, service clubs, and community groups, asking for
their support to promote Census participation.
Census Team
We hired two Census Team leaders and they will be working 8-16 hours per week.
